Peripherals on demand.
A headset or charger, dispensed on the spot instead of waiting in a ticket queue.
Tools you may already run, plus the one that hands the device over.
From the first signal to a device in hand.
Someone needs a headset, a charger or a keyboard.
ServiceNow checks their entitlement by role against the catalogue.
The item is dispensed from vending on the spot, and the record is created and closed in one go.
The full sequence
- An employee needs a headset, charger, mouse or keyboard.
- They request it in the portal or go straight to the machine and sign in.
- ServiceNow checks their entitlement for that item.
- The machine dispenses the item.
- The request is created and closed in one step, with the cost charged to the right cost centre.
- Stock is decremented, and a restock task is raised when an item runs low.
What you need in place
- A ServiceNow service catalogue with peripheral items
- Smart Vending on site
- Agreed entitlement rules by role, cost centre or quota
How the pieces connect
- ServiceNow catalogue
- Each vending item is mapped to a catalogue item, so stock, price and entitlement live in one place.
- Smart Collect®
- Checks entitlement, releases the item and records the dispense, inside the same instance.
The physical steps stay the same, whichever system makes the decision.
Run this recipe from a standard ServiceNow workflow today, and let AI take the decision later. Nothing on the physical side changes.
One record of what was decided, and what physically happened.
A reference design for your technical team.
The Blueprint shows how this recipe would work in your ServiceNow instance and what a build would involve. It is a design, not a step-by-step installation guide.
- What you need in place. A ServiceNow service catalogue with peripheral items · Smart Vending on site · Agreed entitlement rules by role, cost centre or quota
- How the pieces connect. The role of ServiceNow catalogue and Smart Collect®, and what stays in your instance
- Step by step. All 6 steps, from the first signal to the returned device
- Approval and policy. Standard peripherals are free to dispense within a quota.
- Handover rules and exceptions. Reservations, codes, expiry, returns, and what happens when stock runs out or nobody collects
- What to measure. Tickets for peripherals before and after · Spend on peripherals per head · Time from need to item in hand
- What a build involves. The questions to settle first, the roles involved, and how we would scope a six to eight week pilot

Before you ask
How do we stop people taking too much?
Entitlement and quotas are checked in ServiceNow before every dispense, and every item is logged against a named person and cost centre.
Is this an off-the-shelf integration?
No. It is a recipe concept that shows what becomes possible when these tools are combined with Smart Collect®. We build it with you, and where needed with the vendor, when it fits your estate.
Where does the data live?
In your own ServiceNow instance. Smart Collect® does not keep a separate database of your users or devices.
Do we need AI for this?
No. A standard ServiceNow workflow can run every step today. Otto or Flow can take over the decision later without changing anything on the physical side.
